The situation
Fictional planning example. These are sample decisions, not customer results or a demonstration of a live configuration.
A fictional service business receives a call asking for a quote. The caller describes the work and location but does not know the budget. The first intake flow must help the next conversation without turning uncertainty into a made-up answer.
Sample intake record
Use the distinction between reported information and confirmed outcomes when reviewing your own process.
| Field | Sample entry | How to use it |
|---|---|---|
| Requested work | Caller describes a service they want priced. | Use the caller’s description rather than inventing a specification. |
| Location | Caller supplies the relevant service location. | Check it through the business’s approved process. |
| Budget | Caller does not know yet. | Record unknown; do not enter zero or a guessed range. |
| Contact preference | Caller asks for an email reply. | Record service follow-up details; do not infer promotional consent. |
| Owner | Designated quote-review person. | Assign responsibility for reviewing scope and contacting the caller. |
Walk through the decisions
- Ask only what helps the next step. Collect the service, relevant location and usable contact details. Keep optional fields optional when they do not determine eligibility.
- Preserve the missing answer. Record budget as unknown. If the business requires a budget discussion, explain that a person can clarify it rather than forcing an inaccurate selection.
- Confirm the record destination. Use the agreed destination and delivery checks. An intake record should not be treated as received until the team’s review process supports that conclusion.
- Explain the handoff. Summarize what was captured and who handles the quote question next. Do not turn the request into an approved quote or promise an unconfirmed response time.
Example handoff note
Service quote requested; caller’s work description and location captured. Budget unknown. Email follow-up requested. Quote-review owner to clarify scope and any eligibility questions. No quote, price or appointment confirmed.
When the routine path does not fit
- Caller declines an optional question: Keep the refusal visible if relevant and continue through the approved path without fabricating an answer.
- The contact detail appears incomplete: Ask for clarification through the approved intake wording. Do not invent a corrected address.
- The request is outside the published service list: Send it to the defined human-review path rather than promising the work is available.
Use this with your team
Which questions are essential? Can the flow accept unknown answers? Who checks new quote requests and how will that person know what remains unresolved?
Replace the fictional choices with your approved process before configuring service. This page does not collect or send your answers.
